The U.S. Embassy in Yaoundé has issued a Request for Quotes (RFQ) seeking companies to buy and install a prefabricated pergola at the pool area. The solicitation, identified as 19CM8025Q0008, outlines that interested offerors should follow instructions provided in Section J of the RFQ and submit their completed quotations to the address listed on the Standard Form included with the request.
According to Matthew Gribbin, Contracting Officer, "The U.S. Government intends to award a contract/purchase order to the responsible company submitting an acceptable offer at the lowest price. We intend to award a contract/purchase order based on initial proposals, without holding discussions, although we may hold discussions with companies in the competitive range if there is a need to do so."
Quotations must be submitted by September 5, 2025, at 10 a.m., and late or incomplete submissions will not be considered. All documents must be provided in English.
A site visit is scheduled for August 29, 2025, at 10:00am at the U.S. Embassy Yaoundé. Prospective bidders are required to email Yaounde_procurement@state.gov with up to two representatives' names before August 28, 2025, at 11:00am.
Submissions should be sent electronically to Yaounde_procurement@state.gov and must adhere to specified file formats—MS-Word 2007/2010, MS-Excel 2007/2010 or Adobe Acrobat (pdf)—and not exceed a total size of 30MB per email. If files are larger than this limit, they should be split into separate emails each under 30MB.
To have their quotation considered, offerors must complete and submit several documents including SF-18; Section A (Pricing); Section L (Representations and Certifications); additional information from Section J; proof of registration in SAM (System for Award Management); and a DBA Insurance Quote.
Registration in SAM prior to proposal submission is mandatory as outlined by Federal Acquisition Regulation (FAR) section 4.1102. Companies not registered when submitting their proposals may have their offers deemed non-responsible and excluded from further consideration.
"Offerors shall be registered in the SAM (System for Award Management) database at https://www.sam.gov prior to submittal of their offer/proposal as prescribed under FAR 4.1102. Failure to be registered at the time of proposal submission may deem the offeror’s proposal to be considered non-responsible and no further consideration will be given. Therefore, offerors are highly encouraged to register immediately if they are interested in submitting a response to this requirement," Gribbin stated.
